Privacy policy

This policy explains what Arclight Detailing does with personal information collected through this website, by phone, by email and in the course of work on your car.

Who we are

Arclight Detailing operates this website and is the data controller for the personal information described here. Our unit is at Unit 7, Kestrel Court, off Hookstone Road, Harrogate. You can reach us on 0113 496 0721 or at hello@arclightdetailing.co.uk.

If you have a question about this policy, or about information we hold, contact us using either of those routes and we will answer.

What we collect

Enquiry and booking details: your name, telephone number, email address, the vehicle make, model and registration where you give it, your address when we collect, return or come to you, and whatever you tell us about the car.

Photographs: images you send us of your car, and photographs we take of it before, during and after work. These record the condition of the vehicle and the work carried out.

Payment information: the amount, date and method. Card payments are handled by our payment provider; we do not see or store full card numbers.

Website information: pages visited, approximate location derived from your IP address, the device and browser you used, and how you reached the site. This comes from cookies and similar technology, and only where you have agreed to it.

Why we use it

To answer enquiries and provide quotations.

To book work in, carry it out, and contact you about your vehicle.

To take payment and keep accounting records.

To keep a history of work on a vehicle, including paint readings and photographs, which supports coating and film warranties.

To send service reminders and, where you have asked for them, occasional offers. You can stop these at any time.

To understand how the website is used so we can improve it.

Our legal basis

Where we are quoting for or carrying out work, we process information to perform a contract with you, or to take steps at your request before entering one.

Where we keep records for accounts and tax, we process information to comply with a legal obligation.

Where we improve the website, prevent fraud or keep a vehicle history, we rely on our legitimate interests, balanced against your rights.

Where we send marketing or set non-essential cookies, we rely on your consent, which you can withdraw at any time.

Who we share it with

Service providers who help us run the business: our booking and customer system, our email provider, our payment provider, our accountant, and the manufacturers of coatings and films where a warranty has to be registered against your vehicle.

Each is bound to use the information only for that purpose. We do not sell personal information to anyone, and we do not share it for third-party marketing.

Some providers operate outside the United Kingdom. Where that happens, transfers are covered by the safeguards required by UK data protection law.

How long we keep it

Enquiries that do not become bookings are kept for up to two years, so we can pick up the conversation if you return.

Customer and vehicle records, including photographs and paint readings, are kept for seven years after the last work, which covers accounting requirements and the life of most warranties.

Marketing consents are kept until you withdraw them, plus a record of the withdrawal so we do not contact you again in error.

Cookies

The website uses cookies that are necessary for it to work, and, with your agreement, cookies that measure how the site is used.

You can refuse or delete cookies in your browser settings. Necessary cookies cannot be turned off without affecting how the site works.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it, to object to or restrict how we use it, and to ask for it in a portable format.

You also have the right to withdraw consent where we relied on it, and to stop marketing at any time.

To exercise any of these, contact us. We will respond within one month. If you are not satisfied, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Security

Information is held in systems protected by passwords and access controls, and only the people who need it can see it. Paper records are kept at the unit, which is alarmed and covered by recorded cameras.

No system is completely secure, but we take the steps a business of our size reasonably can, and we review them.

Changes to this policy

We update this policy when the way we work changes, or when the law does. The date at the top shows when it was last revised, and the current version always appears on this page.
